Stop running your stokvel from WhatsApp chaos
Most South African stokvels and savings clubs start in a WhatsApp group. That works for chat — until December payout, a missed contribution, or a new treasurer inherits a thread of voice notes. WhatsApp chaos is when “who paid?” lives in memory, not in a register you can open in Sheets or Excel.
What WhatsApp chaos looks like in a real club
- Contribution reminders buried under birthday posts and memes
- “I paid — check the screenshot” with no date or member ID on a ledger
- Fines and loans remembered by one person only
- Year-end payout arguments because totals do not match the chat
- POPIA risk when IDs and phone numbers get re-shared in the group
A group chat is a meeting room. It is not a contribution tracker.
What a calm stokvel OS replaces
A treasurer pack does not replace your bank account or your WhatsApp group. It replaces the books that should never have lived only in chat:
- Constitution / rules one-pager — adaptable wording your members can discuss (not legal advice; not a NASASA filing service)
- Member register — who is in, contact fields you keep private
- Contribution tracker — paid / unpaid / arrears by month
- Fine & loan log — so informal advances do not vanish
- Year-end payout sheet — clear totals before money moves
Import CSVs into Google Sheets or Excel. You keep the money and the member data.
A simple weekly loop (still use WhatsApp)
- Post the reminder in WhatsApp as usual.
- Update the contribution tracker when payment hits the account — not from a vague “sent” tick.
- Once a month, screenshot or share status totals only (not full IDs) with the committee.
- Before payout season, walk the year-end sheet with the constitution rules on paper.
WhatsApp stays for communication. The sheet stays for truth.
Stokvel OS vs burial-only packs
Stokvel OS is the primary pack for savings clubs and general contribution/payout bookkeeping. If your group’s hard week is claim week and good-standing, see the Burial Society Treasurer Pack guide (permalink /l/qbiimu). Soft cross-sell only — pick the job you need this month.
Faceless & COI-safe
Plain Desk is a faceless brand: templates and CSVs only. Not a bank. Not insurance. Not financial or legal advice. No employer niche. You run the club; we organise the paperwork.
FAQ
Can we still use WhatsApp?
Yes. Use it for reminders and meetings. Keep the contribution register and payout totals in a sheet you own.
Is Stokvel OS the free NASASA constitution?
No. NASASA publishes a free official PDF. Stokvel OS is a paid treasurer pack: adaptable wording plus operational sheets.
Will Plain Desk hold our stokvel money?
No. Instant download templates only. You keep banking.
Google Sheets or Excel?
Both — import the CSVs into either.
