Stokvel Contribution Tracker (Excel/Sheets)
A stokvel contribution tracker is a simple ledger that answers one question every cycle: who has paid, and who has not. Treasurers in South Africa use Excel or Google Sheets for this more often than full apps — especially when the club wants a one-time template, not a subscription.

Weekly rhythm (15 minutes)
- Open the master sheet (not a WhatsApp export).
- Mark every payment received since last session.
- List arrears privately for follow-up.
- Snapshot totals into meeting minutes or a PDF.
- Backup the file.
Miss a week and the tracker stops being trusted — same as a cash book.
Connecting tracker → payout calendar
Contribution data is only half the job. Before December / January:
- Freeze contribution totals for the year.
- Apply fines / loans from your fine-loan log.
- Move net figures into a year-end payout sheet.
- Agree distribution in a minuted meeting.
- Pay out via your normal bank or cash process — the sheet records; it does not transfer money.
Mistakes that cause fights
- Changing historical paid flags without a note
- Letting every member edit the sheet
- Tracking only “who is next to receive” without tracking who paid in
- Using screenshots as the only archive

What is a stokvel contribution tracker?

Both work. Sheets is easier for phone viewing; Excel is fine for a single master laptop. Import CSV either way.
Can the tracker replace WhatsApp entirely?
Use WhatsApp for reminders if you must; keep records in the tracker. Chat is a poor audit trail.
Does Plain Desk process our contributions?
No. You collect and bank funds yourselves. The pack only organises paperwork.
Is this legal or financial advice?
