- Open the master workbook (not a chat export).
- Mark every payment that hit the club account since last session.
- List arrears for private follow-up — do not dump full IDs in the group.
- Snapshot totals into minutes or a PDF.
- Save a dated backup.
Miss a week and trust erodes — same as a cash book left open.

From tracker to payout
Before December / January: freeze contribution totals, apply fines and loans from your log, move net figures into a year-end payout sheet, minute the distribution, then pay out via your normal bank process. The sheet records; it does not transfer money.
